FAQ

Questions people actually ask when they first encounter DPPs.

Short answers first. If a topic needs more detail, use the linked guide rather than turning every answer into a regulation lecture.

If you are mainly trying to work out whether Digital Product Passports affect something you sell, the useful starting points are the product type and the market where you sell it.

Getting started

What is a Digital Product Passport?

A Digital Product Passport is a digital record linked to a product and accessed through a data carrier, such as a QR code. Depending on the applicable product rules, the data carrier may appear on the product, its packaging or accompanying documentation. Product-specific legislation determines when a DPP is required and what it must contain.

Do I need a Digital Product Passport?

If you place products on the EU market, you may need a DPP when legislation applicable to your specific product requires one and its compliance date has arrived. Being in a priority product category does not by itself create a DPP obligation. Scope can depend on the product, your role and any applicable exclusions or exemptions. Madeivo helps you prepare the information before those requirements apply.

I sell on Etsy or Shopify. Does that make me exempt?

The sales channel does not create a general exemption. If the product is within the scope of an applicable EU DPP requirement, selling through Etsy, Shopify, Amazon, another marketplace or your own website does not remove that product requirement.

When do Digital Product Passports become mandatory?

There isn't one deadline for every product. The EU is introducing DPP requirements in stages, with different dates for different product types. Certain batteries are first, with battery passports required from 18 February 2027. Other product groups will follow on their own timelines.

What information should I start collecting?

Start with what you already have: product codes, materials or fibre composition, supplier and manufacturer details, where the product was made, care or repair information, and any documents that back those details up. Madeivo shows you what's missing so you know what to ask suppliers for.

What if I do not have all the information?

That is normal. Start with what you know and use the gaps to decide what to ask a supplier or manufacturer for. Madeivo is designed to show missing information rather than encourage guessing.

Do I need a compliance consultant to use Madeivo?

No for the normal product workflow. The software is intended to be self-service. You may still need professional advice where the legal position for a particular product or business role is unclear.

Textiles

I sell clothing. What can I prepare now?

Start with product identity, variants, fibre composition, separate material components where relevant, supplier information and the documents that support those details.

Is the textile-specific ESPR DPP schema final?

No. The European Commission currently indicates Q4 2027 for planned adoption of the textile delegated act. The exact textile DPP information requirements are therefore still being developed.

Can I record a shell and lining separately?

Yes. The textile workflow can record composition for the whole product, a variant or a separate textile component such as a shell or lining.

What should I ask my supplier for?

Ask for the actual product or material information you are missing and a supporting declaration/specification where available. For textiles this may include exact fibre composition for the relevant fabric or component.

Using Madeivo

Do I need a GTIN or barcode for every product?

Not every product situation is identical. Madeivo can store product identifiers and checks their structure where supported, but whether a particular identifier is required depends on the applicable product/market rules.

Can I upload supplier declarations and certificates?

Yes. Supporting documents can be kept privately in your organisation's workspace and linked to the product information they support.

Can one supplier document be used for more than one product?

Yes, where it genuinely supports more than one product record. The document can be stored once and reused rather than uploaded repeatedly.

What does the QR code open?

It opens the published product Passport at a stable public address. The Passport can show the current published product information without exposing private supplier documents by default.

Can I update a Passport later?

Yes. New reviewed information can be published as a later version behind the same QR address. Previous published versions remain part of the history rather than being silently overwritten.

Can I publish a Passport in more than one language?

Yes. Madeivo keeps the languages attached to the same product and Passport rather than creating duplicate product records. Free supports manual translation. Starter, Pro and Business add monthly automatic-translation allowances.

What does Passport analytics measure?

Madeivo records aggregate public Passport activity such as views and scans of Madeivo-generated QR codes, with device and referral breakdowns where available. These are activity counts and are not presented as unique people.

Can I connect Madeivo to Shopify, WooCommerce or another system?

Pro and above include built-in one-way Shopify and WooCommerce catalogue integrations alongside the Madeivo API and signed webhooks. Connected stores can supply core product and variant data; Madeivo still manages supporting documents, regulatory review and Passport publishing.

Does Madeivo support GS1 Digital Link?

Yes. When a published product has a GTIN in a valid format, Madeivo can make its Passport available through GS1 Digital Link and provide machine-readable data alongside the public page. A valid GTIN format does not by itself prove GS1 allocation or ownership.

Can I download a Passport as a PDF?

Yes. Published Passport versions can be downloaded as PDF, including historical releases, without replacing the stable web Passport or QR route.

How do regulatory updates work?

When Madeivo's reviewed regulatory guidance changes for your organisation, the update can appear in your workspace. This is targeted product guidance, not a claim that Madeivo monitors every legal change or replaces professional advice.

Does publishing a Passport mean the product is legally compliant?

No. Publishing makes the reviewed product information available through the Passport. It is not legal certification or a substitute for checking the rules that apply to the product.

Pricing & accounts

Can I try Madeivo with just a few products?

Yes. The Free plan is specifically intended to let a small business try the workflow without migrating its whole catalogue.

Does publishing an updated version cost another product slot?

No. Published versions belong to the same product record.

Does Madeivo add VAT?

No. Greyrock Enterprises Ltd is not currently registered for UK VAT, so UK VAT is not added to self-service prices. If that changes, any applicable tax will be shown before you confirm a purchase.

Can I use my own branding on a Passport?

Yes on Pro, Business and Enterprise. You can configure an organisation brand name, logo and accent for newly published Passport versions and PDFs. Existing releases keep the branding captured when they were published.

Which plans include automatic translation and integrations?

Free uses manual multilingual translation. Starter includes 500,000 automatic-translation characters each month. Pro includes 1.5 million plus Shopify and WooCommerce catalogue sync, custom Passport branding, API access and signed webhooks. Business includes 3 million with the same integrations and branding. Enterprise can scope additional volume, migration and integration requirements.

Will cancelling delete a Passport that has already been published?

No. Billing state does not delete existing published Passport history. If your plan changes, Madeivo keeps the product data and published history already associated with the account.

Data & security

Are my supplier documents public?

Not by default. Supporting documents stay in your organisation's private workspace. Public Passport pages show only the information included in the published Passport.

Does Madeivo require AI?

No. You can manage products, supporting documents, checks and publishing without connecting an external AI service.

Why keep previous Passport versions?

If product information changes, retaining the earlier published version provides a clear record of what was previously made public rather than rewriting history.
